Wedding Planner Business Finance Tracker

A wedding planner’s money does not arrive like other money. One wedding pays out over months — a retainer on booking, a planning payment, a final payment near the day — and the question that matters is per wedding: what did this one earn, what has actually come in, and what is it still owed after the extra event days and the miles? This tracker keeps the professional planner’s own book: fees IN from client couples, one row per wedding.

It is not the couple-side Wedding Finance line. Those workbooks track a couple’s own wedding budget — money OUT to vendors. This one is the business on the other side of the contract: the planner’s fees, instalments and net. It is not a day-of timeline planner either. It holds no wedding-planning advice, no timelines, no checklists and no vendor recommendations anywhere — it is a finance book, nothing else.

The sample book holds five weddings and $16,250.00 of fees. The largest fee, Harper & Lane at $5,200.00, keeps $4,836.00 — 93.0% of its fee. The smallest wedding on the book, Peters & Voss at $1,250.00, keeps 95.2% — the best net % of the five, printed by name. Fees collected so far print at $10,337.50 against $5,912.50 still outstanding across four weddings, and the largest outstanding is named in the open: Singh & Carter, $3,450.00 still out on a typed Retainer Paid status. Nothing is aged from dates — every outstanding figure reads the instalment status you typed, so the book can never invent a due date.

Schedule A shows the shape of one fee: your example package fee of $2,600.00 splits into a $650.00 retainer, a $1,300.00 planning payment and a $650.00 final payment — arithmetic on a typed example, the same split the outstanding shares follow.

HOW IT WORKS
– ‘Wedding Book’: one row per client wedding — couple and venue in your own words, wedding date, package, typed package fee. Extra event days price at your typed day rate and travel miles at your typed mileage rate; total costs, net and net % of fee calculate per wedding.
– ‘Instalments Paid’: Schedule A splits your example package fee 25 / 50 / 25, and against each wedding you type ONE instalment status (Retainer Paid, Planning Payment Paid, Final Payment Due, Fully Paid) — Outstanding follows the status, never a date.
– The money picture prints underneath: fees earned, fees collected, fees outstanding, weddings not fully collected, and the largest outstanding named.

WHAT’S INSIDE
– A per-wedding finance book: package fee − typed direct costs = net, with net % of fee per wedding
– An instalment ledger driven by typed statuses only — no due dates, no aging calculations, no guessed amounts
– The honest split, printed: the smallest wedding ($1,250.00 fee) keeps the best net % (95.2%); the largest fee is not the best earner
– The largest outstanding named on the tab ($3,450.00, from its typed status)
– Plus the standard Expense Log, zero-based Monthly Budget, Dashboard and Monthly Summary tabs

Every fee, day rate, mileage rate and cost in this workbook is an example setting you type — the sheet does arithmetic on your figures only, and never tells you what to charge.

How it works: the seven tabs are Start Here (your settings + step-by-step), the two feature tabs, Expense Log, Monthly Budget (zero-based), Dashboard and Monthly Summary. Yellow cells are the only places you type — every yellow value is your own entry. Formula cells are locked (password: sheetdaily, disclosed on the Start Here tab) and every formula is error-wrapped, so an untouched sheet reads blank instead of showing error codes. Instant download, ready for Excel and Google Sheets.

A note on the sample data: every price and date in this workbook is example data, typed in by hand to show you how the sheet behaves. Replace it with your own.
