DJ Business Booking + Finance Tracker

A DJ’s money has a shape no appointment book captures: a deposit when the date is booked, a balance around the event itself, and costs that belong to that one night — the miles to the venue, an extra performer, the tracks bought for it. This tracker books gigs the way they actually settle: one row per one-off event, fee split into deposit and balance by the share you typed, and the gig’s net and net per hour worked out from its own costs.

It is not a recurring appointment book like the Dog Groomer Income & Appointment Tracker, not a session-pack ledger like the Personal Trainer Client + Payment Tracker, and not a mobile job book like the Mobile Car Detailing Job Tracker — a gig is booked once, played once and settled once, and this book is built for exactly that shape. It holds no music licensing or copyright content anywhere — it is a money book for gigs, nothing else.

The sample book holds five gigs and $3,680.00 of fees, with $1,467.50 of deposits due at the typed shares and $3,110.00 received so far. The stories are the honest ones. The highest fee on the book, the Corporate Gala at $1,200.00, is NOT the highest earner: an extra performer typed at $500.00 brings its net to $631.25, while the Lakeside Wedding keeps $848.50, the most on the book. Exactly one balance is still outstanding — that same wedding’s $570.00, on a typed Due status, named by the check. And the lowest fee on the book, the School Prom at $380.00 for two typed hours, prints the best net per hour at $182.88 — short gigs pay by the hour in a way long ones do not, and the sheet shows it instead of averaging it away.

The Fee Check’s third block tests any fee you type at three deposit shares: on an $800.00 test fee, a 25% share takes $200.00 and leaves $600.00, 40% takes $320.00, and 50% takes $400.00 — the split is arithmetic on your share, never a recommendation.

HOW IT WORKS
– ‘Gig Book’: one row per gig — event and client in your own words, event date, event type, typed fee, typed deposit share % and typed hours. Deposit Due and Balance Due split themselves; travel miles price at your typed mileage rate; net and net per hour calculate per gig.
– Statuses are typed, per part: Deposit Status (Received / Due) and Balance Status (Paid / Due). Outstanding follows the balance status only.
– ‘Deposit & Balance Check’: the balances still out, the deposits your typed shares say should have been taken, and a three-share test on any fee.

WHAT’S INSIDE
– A per-gig finance book: fee − travel − extra performer − other gig costs = net, and net per typed hour
– Deposit and balance split by YOUR typed share per gig — 25%, 40%, 50% all live on the sample book
– The honest splits, printed: the highest fee ($1,200.00) is not the highest net ($848.50); the lowest fee prints the best net per hour ($182.88)
– Exactly one outstanding balance on the sample book, counted and readable at a glance ($570.00)
– Plus the standard Expense Log, zero-based Monthly Budget, Dashboard and Monthly Summary tabs

Every fee, deposit share, hour count, mileage rate and cost in this workbook is an example setting you type — the sheet does arithmetic on your figures only, and never tells you what to charge.

How it works: the seven tabs are Start Here (your settings + step-by-step), the two feature tabs, Expense Log, Monthly Budget (zero-based), Dashboard and Monthly Summary. Yellow cells are the only places you type — every yellow value is your own entry. Formula cells are locked (password: sheetdaily, disclosed on the Start Here tab) and every formula is error-wrapped, so an untouched sheet reads blank instead of showing error codes. Instant download, ready for Excel and Google Sheets.

A note on the sample data: every price and date in this workbook is example data, typed in by hand to show you how the sheet behaves. Replace it with your own.
