Weddings rarely blow the budget in one big moment — they blow it in deposits. A 30% here, a balance there, six vendors on six different calendars. This tracker is the one page that knows all of it: every contract, the deposit it demands and when, what you have actually paid, what is still owed, and a flag that re-judges every row against TODAY’s date each time you open the file.
The sample is triage, honestly labelled (as of late October 2026). The venue: $8,400 contract, PAID IN FULL. The photographer: $960 deposit due October 15, only $400 paid — DEPOSIT OVERDUE, named before the photographer has to name it. The florist’s $1,480 balance lands November 20 — DUE SOON inside the 30-day window. Across six vendors: $22,500 contracted, $10,900 paid, $11,600 still to go.
And the cash-flow tab groups what remains by due month, so the ambush is visible while it is still avoidable: June 2027 carries $7,320 of the remaining $11,600 — the catering balance, the DJ and the cake all landing in the wedding month itself. Knowing that eight months early is the difference between a savings plan and a credit card.
Flags are TODAY-relative by design: what is “on track” in October is “due soon” in May. Update Paid So Far the day you pay anything and the priorities re-sort themselves.
What it does for you:
– Tracks every vendor contract: total, deposit %, deposit amount and due date, paid so far, remaining balance
– Flags each row live — PAID IN FULL, DUE SOON, DEPOSIT OVERDUE, OVERDUE — against TODAY and your due-soon window setting
– Groups remaining balances by due month so heavy months are visible months in advance
– Totals contracts, paid and remaining with an overall % paid on the Dashboard
– Counts what needs you right now: overdue flags and due-soon flags, separately
– Adds a planning expense log, zero-based monthly budget and 12-month summary
